Find closeout document gaps before you submit
For one project and one trade, we compare your closeout package with the closeout requirements you give us. You get back a cited list of what looks missing, incomplete or unclear, and who probably needs to act.
$395 pilot
One project, one trade, up to 20 agreed document entries, a cited gap register and one factual-correction review.
Email us about a projectThis opens an email to operationscloseout@gmail.com. Tell us the trade and what you're chasing. Please don't attach project files or confidential documents to a first email. We confirm the fit, scope, price and due date in writing before any files are shared, any work starts or anything is paid.
Who it's for
Commercial and public-project subcontractors, such as electrical, mechanical, solar and other MEP trades, who spend staff time matching turnover packages to closeout requirements.
What you send
Only after we've agreed the scope and how files are transferred.
- The Division 01 closeout sections and your trade's sections
- Drawings or addenda you want included
- Any closeout checklist from the GC, and subcontract closeout clauses you're allowed to share
- A list of what you've assembled so far (up to 20 entries)
What you get
- A register of the closeout requirements in what you supplied
- A gap register: each item cites its section and shows present, missing, incomplete or unknown, who appears responsible, and the next step
- A short list of questions where your documents don't settle the answer
- One review to correct any factual errors in the report
What the gap register looks like
Format example. Hypothetical entries, not from a real project or customer.
| Requirement (source) | Supplied evidence | Status | Responsible | Next step |
|---|---|---|---|---|
| Equipment warranties in the form the spec requires (spec section and paragraph cited) | Manufacturer warranty PDFs, one copy, unsigned | Incomplete | Trade, if flowed down | Confirm the required form and copies; get signed copies |
| Record of Owner training (spec section cited) | None in the package | Unknown | Not established | Ask the GC whether your trade owes the training record |
The project's own contract and the documents it incorporates decide what is required. Where they don't say who owes an item, the register says so instead of guessing.
Common closeout gaps
- Record drawings missing field changes, concealed work or the current revision
- O&M manuals that don't match the installed equipment, tags or approved substitutions
- Warranties with the wrong identifiers, missing signatures or unclear start dates
- Test, startup or commissioning reports that are missing, unsigned or for the wrong equipment
- Training records and turnover receipts for spare parts, keys and tools
- Open punch-list items with no owner or date
How it works
- Email us a short description: your trade, the project stage and what's due. No files yet.
- We confirm whether it fits, then agree the scope, price, due date and how files will be shared, in writing.
- You send the agreed documents the agreed way.
- We deliver the report, then correct any factual errors you point out.
Larger, mixed-trade or disorganized packages get a separate quote, or we'll tell you it isn't a fit.
What this is not
An administrative comparison of documents. It is not legal advice, engineering review, field inspection or compliance certification. It doesn't guarantee that the GC or owner will accept your package, or that payment will be released. We don't assemble missing vendor records or chase third parties, and you decide what to submit.
